Applications are now open for the Organization of the Knowledge Fair of the 7th Operational Phase of the PMF/FEM.
The Global Environment Facility Small Grants Program (GEF/SGP) implemented by UNDP in collaboration with the General Directorate of Environment and Sustainable Development, has the mission of supporting community actions initiated by local populations in order to contribute to the fight against global environmental degradation.
As part of the communication and knowledge management strategy, a knowledge fair will be organized to highlight the results of the thirty or so projects funded during the 7th operational phase. The knowledge fair offers a unique platform for sharing experiences and good practices between SGP/GEF beneficiary organizations, UNDP and potential donors.
Under its 7th Operational Phase (OP7), the GEF-SGP aims to “ promote and support innovative, inclusive and scalable initiatives; strengthened by multi-stakeholder partnerships at the local level to participate in solving global environmental problems ”.
Objectives
- The overall objective of the mission is to organize and implement a high-quality knowledge fair that highlights the achievements of the 30 PMF/GEF beneficiary organizations in Gabon, while promoting knowledge sharing, capacity building and the creation of sustainable partnerships between the different actors of sustainable development.
- The Knowledge Fair is designed as an event aimed at promoting and amplifying the impact of PMF/GEF-supported projects in Gabon. Its main objectives are:
- Create a platform for the exchange of knowledge and experiences between beneficiary organizations.
- Promote networking and partnerships between sustainable development stakeholders.
- Raise awareness among the general public about environmental issues and community solutions.
- Influencing national environmental policies.
- Attract additional funding to sustain and expand successful projects.
- The specific objectives of the mission are as follows:
- Design and plan a detailed program for the knowledge fair, including plenary sessions, thematic workshops, exhibition spaces and networking opportunities.
- Plan the complete logistics of the event, including venue selection and setup, registration management, accommodation and participant transportation.
- Develop an effective communications strategy to promote the event to key stakeholders, media and the general public.
- Facilitate the active participation of the 30 PMF-FEM beneficiary organizations, by supporting them in the preparation of their presentations and stands.
- Organize targeted training and capacity building sessions for participants, based on identified needs and industry best practices.
- Establish effective networking mechanisms to foster exchanges and partnerships between participants, policy makers and potential donors.
- Coordinate the production of communication materials and documentation on the projects and results presented at the show.
- Integrate interactive and innovative elements into the show program to maximize attendee engagement and learning.
- Ensure media coverage of the event and dissemination of key results to a wide audience.
- Establish a monitoring and evaluation system to measure the impact of the knowledge fair and collect feedback from participants.
- Prepare a detailed final report on the progress of the show, its results and recommendations for future editions.
Role and Responsibilities
- Planning and logistics: The NGO will be responsible for selecting and arranging the event venue, arranging accommodation and transportation for participants, and coordinating with suppliers. It will ensure that the necessary equipment is in place and manage the overall event schedule.
- Programming and content: Developing a detailed programme including plenary sessions, thematic workshops and discussion spaces will be crucial. The NGO will need to select and prepare speakers, design innovative presentation formats and create interactive content to maximize participant engagement.
- Communication and promotion: A comprehensive communication strategy will need to be developed, including the creation of a visual identity, the production of promotional materials and the management of media relations. The NGO will ensure the dissemination of information before, during and after the event via various communication channels.
- Participant Management: The NGO will manage the registration process, reception and orientation of participants. It will ensure that their specific needs are met and their active participation is facilitated throughout the event.
- Coordination with stakeholders: Close coordination with the PMF/GEF, beneficiary organizations, local authorities and other stakeholders will be essential. The NGO will serve as a focal point to ensure smooth communication and effective collaboration among all actors involved.
- Duration and location of the mission: The mission will extend over a period of six months, with an intensive preparation phase followed by the organization of the three-day event. The Salon des Savoirs will be held in Libreville, in a location to be determined based on accessibility and capacity criteria.
Funding Information
- The NGO/CSO selected to fulfill this task will receive a grant of USD 20,000 for a maximum period of 6 months.

- Potential donors are interested in the PMF/FEM
Eligibility Criteria
- Experience required: The NGO must have significant experience in organizing large-scale events, ideally in the field of sustainable development or the environment. It must demonstrate in-depth knowledge of the Gabonese context and the issues related to the PMF/GEF.
- Technical skills: Proven skills in project management, event communication and mastery of digital tools are essential. Expertise in group facilitation and participatory methodologies will also be valued. The ability to produce quality content (reports, presentations, visual aids) in French is essential.
- Organizational capabilities: The NGO must demonstrate a strong ability to manage multiple aspects of a complex project simultaneously. It must have a solid organizational structure, with an experienced team able to work under pressure and adapt quickly to unexpected events. A proactive approach to problem solving and excellent time management are essential.
Ineligibility Criteria
- Organisations currently receiving funding from the PFM/GEF are not eligible for this call.
Selection Criteria
- Technical quality of the proposal: The technical quality of the proposal will be thoroughly assessed. The selection committee will carefully examine the coherence and feasibility of the proposed action plan, the relevance of the methodologies and tools envisaged, as well as the adequacy of the human and material resources allocated. Particular attention will be paid to the innovation and added value brought by the NGO’s approach.
- Relevant experience: The NGO’s proven experience in organizing similar events, particularly in the field of sustainable development and the environment, will be carefully examined. The selection committee will assess the quality of the NGO’s references and previous achievements, as well as its in-depth knowledge of the Gabonese context and its specific issues. Demonstrable expertise in project management in close collaboration with government institutions and international partners will be a major asset.
- Financial and administrative capacity: The ability to effectively manage allocated resources will be key elements in the selection process. Transparency and rigor in the presentation of the forecast budget, as well as the demonstration of the ability to mobilize co-financing, will be decisive.
