The United Nations Development Programme (UNDP) is requesting for proposals for Event management and logistics support for the Youth Co:Lab Summit 2022.
The service provider is expected to work towards the work plan and to manage the event logistics and technical and production aspects of the hybrid Youth Co:Lab Summit 2022 , including the coordination of all pre-recorded interventions and supporting the management of the live event in June 2022.
Duration: The assignment is expected to begin on 1 April 2022 and the final deliverable should be completed by 30 September 2022.
Deliverables
- Proposed Methodology and Implementation Plan
- Development of summit action plan, procuring event venues, hosting systems and planning for event live streaming.
- Pre-Event Preparatory Work
- Lead the summit content production including coordination with the in-person studio, creating graphic design elements during the live event, conducting technical checks and providing instructions to speakers;
- Arrange the summit logistics including food and beverage, venue requirements and leading volunteer management.
- During Event
- Oversee the hybrid Youth Co:Lab Summit 2022 including management of the hosting platform, live streaming channels and coordination with in-person studio;
- Provide in-person and virtual technical assistance to speakers and participants and support troubleshooting of event streaming issues;
- Support delegate management and volunteer management both in-person and virtual throughout the event.
- Post Event
- Develop and review the final cost in relation to the budget and consolidate and submission of all bills and appropriate documentation;
- Provide recorded content and sessions, monitoring and evaluation data and other materials from the event platform to UNDP as needed;
- Provide assistance with any other postevent related services as agreed upon with UNDP.
Minimum Eligibility Criteria
- Submission of signed and stamped Proposal (Technical & password protected Financial) as per the Provided Template and Instructions;
- Acceptance of the UNDP General Terms and Conditions for contracts;
- Bid Validity – 120 days
- Valid Business Licenses – Registration papers;
- Tax Registration/Payment Certificate issued by the Internal Revenue Authority evidencing that the Bidder is updated with its tax payment obligations, or Certificate of Tax exemption, if any such privilege is enjoyed by the Bidder;
- Written Self Declaration that bidder is not listed in the removed or suspended vendor list of the UN or other such lists of other UN agencies, nor are associated with, any company or individual;
- Minimum qualifying experience requirement for the bidder:
- At least 5 years of experience in event management and support including delivery of high-profile international conferences for UN agencies, governments and/or other non-profit or development organizations, or related work of a similar nature;
- At least 5 years’ experience in managing high-quality video production, graphic design, content production and branding of high-profile events. Experience with designing and branding of events for UN agencies, governments and/or other non-profit or development organizations is preferred.
- Submission of completed and signed CV for the proposed key personnel as per ToR requirement.

- To be computed as a ratio of the Proposal’s offer to the lowest price among the proposals received by UNDP.
